Members and roles
Who can do what in a shared workspace?
A workspace is shared by everyone who signs in to it: you, and perhaps a career coach who helps with your applications. Each member has a role, and the role decides what they can change. You signed up and created Portage demo, so you are its owner.
Roles
| Role | What the member can do |
|---|---|
| Owner | Everything below, plus change the plan, cancel it, open invoices and payment, and delete the workspace |
| Admin | Everything an editor can, plus export the workspace's data |
| Editor | Add and change profiles, applications, searches, CVs and letters, followed employers and routes |
| Career coach, Recruiter, Viewer | Read everything in the workspace, without changing it |
Every member, whatever their role, can:
- read every profile, job, application and notice in the workspace
- mark notifications read, for themselves
- choose their own email settings on Notifications
A member with a read-only role who tries to save a change sees the error forbidden. Portage enforces the same rule in its database, so a read-only member cannot change data by any route.
Only the owner can manage the plan. Other members see "Only the workspace owner can change the plan" under the plans on Plan & billing.
Adding members
Portage has no screen for inviting members or changing roles. Members are added to the workspace in Portage's sign-in service, and a member's role comes from there each time they sign in. To add someone to your workspace, contact Bytefount at support@bytefount.com.
On the Team plan, each member counts as a seat. When the workspace has more members than the seats paid for, Portage raises the number of seats once a day. Removing a member does not lower the seat count.
Working in more than one workspace
If you belong to more than one workspace, a Workspace picker appears at the top right of every page. Choose a workspace to switch to it; Portage opens its Dashboard. Your role can differ from one workspace to the next.
What other members see of your changes
When a member changes an application's status, the others get a Someone else moves an application notice. Nobody is notified about their own changes. Every change to a profile or application is listed under Activity.
